Email Template Types

There are four types of email templates, which are available at different steps in the hiring and interview process, on the candidate's profile.

  • Generic templates are available on the Emails tab and the Message composer on the Applicant List.
  • Offer templates are available on the Offer tab.
  • Interview templates are available on the Interview tab.
  • Rejection templates are available from the Reject button.

SmartRecruiters provides default templates for each of type. These templates can be edited.

 

Invitation to Interview 

These templates are available in the Interview Scheduler when scheduling an interview.

SmartRecruiters comes with two default Invitation to Interview templates:

Invitation to Job Interview (formal)

Dear [m_applicant_first_name],

Thank you for applying to the [m_job_title] position at [m_company_name]. I would like to invite you for an interview on [m_event_start_time] at our office.

If you need to reschedule to a different time and/or date, please respond to this message so we can accommodate you. Let me know if you have any additional questions. We look forward to meeting with you.

[m_employee_first_name] [m_employee_last_name]

Invitation to Job Interview (friendly)

Dear [m_applicant_first_name],

Thank you for your interest in the [m_job_title] position at [m_company_name]. Unfortunately, we are unable to offer you a role at this time. I'm sorry it didn't work out for now, but please stay in touch with us, as we are constantly hiring.

I wish you the best of luck in your job search.

Rejection

These templates are available through the Reject button when rejecting a candidate, but are not mandatory. 

SmartRecruiters comes with two default Rejection templates:

Rejection Letter (formal)

Dear Mr./Ms. [m_applicant_last_name],

Thank you for your interest in the [m_job_title] position at [m_company_name]. While your skills and background are impressive, we have decided to proceed with other applicants who more closely fit our needs at this time.

We appreciate your time and effort in submitting an application. We encourage you to apply for other positions at [m_company_name] in the future.

Again, thank you for your interest in a position with [m_company_name] and we wish you success in your job search and future career.

Rejection Letter (friendly)

Dear [m_applicant_first_name],

Here is an additional template that our team built and that you can use for your rejection template: 

Subject: [NAME], We’ve Reviewed Your Application

Dear [CANDIDATE NAME],

Thank you for your interest in joining the [COMPANY] team. We really appreciate you taking the time to apply for [ROLE] with us and for the opportunity to get to know you better. 

Unfortunately, our hiring team did not select you for further consideration.

While we recognize your relevant experience, skills, and accomplishments, competition for jobs at [COMPANY] is always strong. We often have to make difficult choices between many high-caliber candidates.

Though we cannot offer you a position at this time, we encourage you to stay connected by joining our talent community [LINK] and following us on social media [LINK] for future opportunities.

Job Offer

These templates are available through the Offer tab, once the hiring manager has completed the offer itself.

Job Offer email templates are just for the email to the candidate about the offer, not the actual offer itself.

SmartRecruiters comes with a single default Job Offer template: 

Offer letter (Formal)

Dear Mr./Ms. [m_applicant_last_name],

I am pleased to offer you employment at [m_company_name] for the [m_job_title] position. We were very impressed with your candidacy, and we believe you will be a valuable addition to our team.

Job Description: see attached.

Should you accept this job offer, please plan to begin work on (date). This position includes a salary of (salary). We offer performance bonuses of (bonuses). Your benefits package will include (benefits package).

I kindly request your decision regarding this position at your earliest convenience, but no later than (date). I can be reached at [m_employee_phone] or [m_employee_email].

(Please note that your employment will not be confirmed until we conduct a background check and other assessments). Pending on (this and) your confirmation of this job offer, we will send you a packet with additional details regarding your upcoming employment.

Generic Email

These templates are available at any time during the hiring process, and are accessible on the Emails tab. There are no default Generic Email templates.
