New Recruiter User Settings

As a new recruiter, the first thing you should do is set up your personal profile and preferences such as the email notifications you'd like to receive, payment methods for posting jobs and purchasing services in the Marketplace, and your locale preferences.

Access account settings 

Access your account settings from the Settings / Admin page:

  1. Click the user icon in the top right corner of SmartRecruiters.
  2. From the list, select Settings / Admin.

Add personal details 

On the Settings / Admin page, click My Profile in the My Account list. On this page, you can set your personal details and upload a photo of yourself.  Your team will use it to identify your comments and reviews. If you're part of a hiring team, candidates will see your photo when you invite them to interviews.

If you're someone who will post jobs and would like to remain anonymous when you do, uncheck the "Show my name and social profile on jobs I post" option at the bottom of the page. Otherwise, your photo and social profile will show up on each job you post. 

Be sure to click Save at the bottom of the page to save your information and profile photo.

Email notification settings 

SmartRecruiters wants keeps you informed when things happen, and sends you notifications about candidate-related actions and events on the jobs for which you're a hiring team member. However, we understand that your inbox can get cluttered quickly. To avoid that, you can customize which emails you'd like to receive on the Email Notifications page.

To choose which notifications you'd like to receive:

  1. Navigate to Settings / Admin.
  2. In the My Account list, click Email Preferences.

For most types of notifications, you can set preferences for each role that you might have on a hiring team. Just choose which notifications you'd like to receive when you have that role.

For example, if you chose the options above and the role you're assigned for a particular job is:

  • hiring manager, you'll receive a email when new candidates apply or existing candidates withdraw their applications.
  • coordinator, you'll receive an email when someone rates a candidate with three or more stars.
  • recruiter,  you'll receive an email for all four events.
  • executive, you'll receive an email when someone rates a candidate with three or more stars.

Notifications are grouped into four categories of events.

  • Candidate events
  • Offer, hire, and digests
  • Assessments
  • Collaboration

Candidate events

Plans:
  • Personal
  • Team
  • Corporate
  • Select New Candidate Applied to receive notification for each new application to a job for which you're a hiring team member
  • Select New Candidate Reviews to receive notification when one of your colleagues rates a candidate with 3 or more stars.
  • Select Upcoming Interviews to receive notification when someone schedules an interview on the job, but doesn't add you as an interviewer.
  • Select Candidate Review to receive notification when someone marks a candidate as Withdrawn.

Offer, hire, and digest events

Plans:
  • Personal
  • Team
  • Corporate

  • Select New Candidates in Offer Stage to receive notification when someone moves a candidate to the Offer stage. However, this doesn't necessarily mean someone extend an offer.
  • Select New Hires to receive notification when someone moves a candidate to Hired status.
  • Select New Hiring Team Member to receive notifications when someone adds another hiring team member.
  • Select Subscribe to weekly digest email to receive a list of new candidates, current candidates and their stage in the process, and new comments for candidates.

Assessment events

Plans:
  • Personal
  • Team
  • Corporate

  • Select Assessment Results to receive notification (and actual results) when a candidate completes an assessment. Both the person who ordered the assessments and hiring team members with full access to the candidate can subscribe to this email. Interviewers and coordinators cannot.
  • Select Assessment Updates to receive notification when the order is accepted, or any other progress updates sent by the assessment vendor, like when a candidate adds a reference in their reference check.

Collaboration events

Collaboration notification preferences aren't role-based. Instead, you can just choose to subscribe to them.

Plans:
  • Personal
  • Team
  • Corporate

Select the last one if you'd like to receive a notification when someone sends an email through SmartRecruiters to a candidate whom you've previously emailed as well.

 

Payment methods

To streamline the process of advertising, add a payment method to your profile so that you simply need to choose the right boards when you've created the job.

You can either add a credit card to your account, or choose to have SmartRecruiters invoice you once a month for your purchases.

If you choose invoicing, keep in mind that SmartRecruiters will need to approve your account, and you'll need to add a credit card first and keep it on file. Approval can take up to 5 days

Add credit card 

 To add a new credit card:

  1. Navigate to Settings / Admin.
  2. Click Payment Methods in the My Purchases list.
  3. Click Add Payment Method.
  4. Click Add a Credit Card:
  5. For credit cards, you'll need the usual information: card and CVC number, expiration date and cardholder name.

  6. Next, enter the billing address associated with the card.
  7. Decide who at your company should be able to use this method to pay for things through the Marketplace.  
    • To restrict the payment method to yourself, leave No one selected.
    • To share it with specific users, choose the following people and type the names of those who should share it.

      They'll need to already have a SmartRecruiters user account, so you may need to return once they've joined.
  8. Click Save to finish. 

Invoice billing 

To set up invoiced billing:

  1. Add a credit card. There must be a card on file.
  2. Click Request Invoice Billing. 
  3. Enter the billing information that you'd like on your account, including your phone and email.
  4. Decide who at your company should be able to use this method to pay for things through the Marketplace.  
    • To restrict the payment method to yourself, leave No one selected.
    • To share it with specific users, choose the following people and type the names of those who should share it.

      They'll need to already have a SmartRecruiters user account, so you may need to return once they've joined.
  5. Confirm that you'll keep a valid credit card on file.
  6. Click Submit Request.
